This guide provides step-by-step instructions for data providers on how to submit and manage datasets in the UGOS Data Catalog. The UGOS Data Catalog is designed to facilitate easy access to hydrodynamic model data and related resources for researchers and stakeholders.
Step 1: Log In to Your Provider Account
- Navigate to the UGOS Data Catalog.
- Figure 1 is the first user interface. In the upper-right corner of the page, click Log In(1).
- Enter your username and password to access the data provider dashboard (Figure 2).
- If you do not have an account, use the Contact Us form available in the UGOS system for requesting account setup.
Step 2: Access the Dataset Submission Interface
- Once logged in, click on Datasets from the top navigation menu (Figure 1, (2)).
- On the Datasets page, click the Add Dataset button to proceed to the dataset submission form (Figure 3).
- Alternatively, if you have access to a specific organization, click on Organizations in the top navigation pane(Figure 1, (2)).
- Select the organization you have access to (Figure 4), and then click the Add Dataset button. This will direct you to the dataset submission form (Figure 3).
Step 3: Complete the Dataset Submission Form
In the dataset submission form, you will need to provide the following information:
- Title: Provide a clear and concise title for your dataset. This is a required field and should accurately reflect the content (Figure 5, (1)).
- Description: Write a comprehensive description of the dataset, including its purpose, data collection methods, and potential applications (Figure 5, (2)).
- Tags: Add relevant keywords to enhance searchability. Separate multiple tags with commas (Figure 5, (3)).
- License: Specify the terms under which the data can be accessed and used. Ensure that this is consistent with the organization's data-sharing policy (Figure 5, (4)).
- Organization: Select the organization to which this dataset belongs. If you have access to multiple organizations, ensure you select the appropriate one that corresponds to the dataset being submitted (Figure 5, (4)).
- Data Source URL (if applicable): If your data is hosted externally (e.g., on another server), provide the full URL to the data resource (Figure 5, (5)).
- Visibility: Choose between Public and Private. By default, datasets are set to Private, ensuring confidentiality until you are ready to share. Change to Public if you want the dataset to be accessible to all users (Figure 5, (6)).
- Version: Specify the version of the dataset you are submitting. This helps in tracking changes and updates over time (Figure 6, (1)).
- Author: Provide the name of the individual or team responsible for creating the dataset (Figure 6, (2)).
- Author Email: Include the email address of the author for any inquiries or clarifications related to the dataset (Figure 6, (3)).
- Maintainer: Provide the name of the individual or team responsible for maintaining the dataset after submission (Figure 6, (4)).
- Maintainer Email: Provide the email address of the maintainer for any future correspondence regarding dataset updates or maintenance (Figure 6, (5)).
- Custom Fields: Fill in any custom fields that may be required for your dataset. These fields may vary depending on the organization's specific needs and can include information such as geographic location, data collection dates, or specific metadata requirements (Figure 6, (6)).
Step 4: Upload Data Files and Publish the Dataset
- Click on the Next: Add Data button to proceed to the resource upload section.
- For each resource, provide the following information:
- Title: Enter a descriptive title for the resource (e.g., "Raw Data" or "Processed Model Output") (Figure 7, (3)).
- Description: Optionally, provide a description to offer context about the file’s contents (Figure 7, (4)).
- Resource Type: Select Upload (Figure 7, (1)) to upload the resource from your local system, or select Link (Figure 7, (2)) to link to an external dataset.
- File Format: Specify the format of the uploaded or linked file (Figure 7, (5)).
- If you want to add another resource, click on Save & add another (Figure 7, (6)). If you do not have any additional resources to upload, click Finish (Figure 7, (7)) to complete the submission.
- Once saved, the dataset will be published and indexed in the UGOS Data Catalog, where it will be searchable by users based on the metadata and tags provided.
- To add a dataset to a particular classification, locate the dataset in the Datasets section, click on Groups, and select the classification name(s) you want to assign to your dataset (see Figure 8, (1)). A dataset can be added to more than one classification, allowing it to be categorized under multiple relevant groups.
Step 5: Editing or Updating Existing Datasets
You can make updates or modifications to datasets after they have been published:
- From the Datasets section of your dashboard, locate the dataset you wish to update.
- Click on the dataset title to open its landing page.
- Select Manage from the toolbar (Figure 8 (2)) .
- Make the necessary updates to metadata or resources and click Update Dataset to apply the changes.
Important Considerations
- Metadata Quality: Ensure that the title, description, and tags are detailed and accurate to maximize the dataset's discoverability.
- External URLs: If you are linking to external data sources, double-check that all provided URLs are active and accessible to users.
